1. Introduction

These Enrollment Terms & Conditions (“Terms”) govern the application, admission, enrollment and participation of students in training programmes offered by West African Subsea Academy (“WASA”, “the Academy”, “we”, “us” or “our”).

By submitting an application, accepting an offer of admission, making a payment, or enrolling in a programme, you confirm that you have read, understood and agreed to these Terms.

These Terms should be read together with the Academy’s Privacy Policy, student regulations and any programme-specific requirements issued by the Academy.

2. Application and Admission

Admission to the Academy is subject to meeting the eligibility requirements for the selected programme.

Submitting an application does not guarantee admission.

The Academy reserves the right to:

  • Review and assess applications;
  • Request additional information or supporting documentation;
  • Verify qualifications and information provided by an applicant;
  • Conduct interviews, assessments or other admission procedures where applicable;
  • Accept or decline an application based on the programme’s requirements.

Applicants are responsible for ensuring that all information and documentation submitted during the application process is accurate, complete and genuine.

Providing false, misleading or fraudulent information may result in rejection of an application or withdrawal of admission.

3. Admission Offer

An admission offer is valid only for the programme, intake and period specified in the offer.

Unless otherwise stated, an admission offer does not automatically carry over to a subsequent intake.

Where an applicant is unable to commence training during the intake for which they were admitted, they may request a deferral in accordance with the Academy’s deferral policy.

The Academy reserves the right to withdraw an admission offer where an applicant does not satisfy the applicable admission or enrollment requirements.

4. Enrollment

Enrollment is considered complete only when the applicant has:

  1. Received an admission offer;
  2. Accepted the offer;
  3. Submitted all required documentation; and
  4. Paid the applicable enrollment or programme fees within the specified timeframe.

The Academy may decline to confirm enrollment where required documentation or payment has not been received.

5. Programme Fees

All programme fees will be communicated to applicants before enrollment.

Unless otherwise stated, fees may include tuition and other programme-related charges specified by the Academy.

Additional costs may apply for items or services not included in the stated programme fee, including, where applicable:

  • Registration or examination fees;
  • Certification fees;
  • Training materials;
  • Personal protective equipment;
  • Medical or fitness assessments;
  • Accommodation;
  • Transportation;
  • Meals;
  • Additional assessments or resits;
  • Optional courses or services.

Applicants should confirm what is included in their programme fee before completing enrollment.

6. Payment

Programme fees must be paid using the payment methods and according to the payment schedule communicated by the Academy.

Where installment payments are permitted, each installment must be paid by the applicable due date.

Failure to make a required payment may result in:

  • Suspension of access to training;
  • Restriction from assessments or examinations;
  • Delay in certification;
  • Cancellation of enrollment; or
  • Other appropriate administrative action.

The Academy is not responsible for delays caused by payment providers, banks or other third-party financial institutions.

7. Refunds and Cancellations

Refund eligibility will depend on the circumstances and the Academy’s applicable refund policy.

Where a student wishes to withdraw from a programme, the student must notify the Academy formally in writing.

Any applicable refund will be calculated in accordance with the Academy’s refund terms in effect at the time of enrollment.

Certain fees may be non-refundable, including administrative, registration, assessment or other costs that have already been incurred.

Where a programme is cancelled by the Academy before commencement, the Academy will communicate the available options to affected applicants, which may include transfer to another intake, rescheduling or an applicable refund.

8. Deferral

A student who is unable to commence a programme during the approved intake may request to defer enrollment to a subsequent intake.

Deferral requests must be submitted to the Academy within the timeframe specified by the Academy.

Approval of a deferral is not automatic and may be subject to:

  • Availability of places;
  • Programme scheduling;
  • Changes to programme fees;
  • Changes to admission requirements; and
  • Other applicable conditions.

9. Attendance and Participation

Students are expected to attend scheduled classes, practical sessions, assessments, examinations and other compulsory programme activities.

Students must comply with the attendance requirements established for their programme.

Failure to meet minimum attendance requirements may affect a student’s eligibility to complete the programme or receive certification.

Where a student is unable to attend due to circumstances beyond their control, they should notify the Academy as soon as reasonably possible.

10. Training and Practical Activities

Certain Academy programmes may include practical, laboratory, field, workshop, offshore, marine or other industry-related activities.

Students participating in such activities must:

  • Follow all safety instructions and procedures;
  • Use required personal protective equipment;
  • Follow instructions given by instructors and authorised personnel;
  • Disclose relevant information where required for participation in a safety-critical activity;
  • Comply with applicable health, safety and environmental requirements; and
  • Conduct themselves responsibly at all times.

The Academy may restrict a student’s participation in a practical activity where the student does not meet applicable safety, fitness, documentation or other participation requirements.

11. Student Conduct

Students are expected to conduct themselves professionally and respectfully while participating in Academy activities.

Students must not:

  • Engage in harassment, bullying or discrimination;
  • Threaten, intimidate or abuse other students, instructors or staff;
  • Engage in dishonest or fraudulent conduct;
  • Cheat or engage in academic misconduct;
  • Damage Academy property or equipment;
  • Misuse Academy facilities, systems or resources;
  • Engage in conduct that creates a safety risk;
  • Disrupt training activities; or
  • Engage in unlawful activities on Academy premises or during Academy activities.

The Academy may take disciplinary action where a student breaches these requirements.

12. Academic Integrity

Students are expected to complete assignments, assessments and examinations honestly.

Plagiarism, impersonation, cheating, falsification of records and other forms of academic misconduct are prohibited.

Where academic misconduct is established, the Academy may impose appropriate sanctions, including:

  • Reassessment;
  • Failure of an assessment;
  • Suspension;
  • Withdrawal from a programme; or
  • Cancellation of certification where appropriate.

13. Programme Changes

The Academy makes reasonable efforts to deliver programmes as described at the time of enrollment.

However, the Academy may make reasonable changes to:

  • Course content;
  • Training schedules;
  • Instructors;
  • Venues;
  • Equipment;
  • Delivery methods;
  • Assessment arrangements; or
  • Programme structure

where necessary for operational, educational, safety, regulatory or other legitimate reasons.

Where a significant change materially affects a student’s programme, the Academy will communicate the change to affected students.

14. Programme Cancellation or Rescheduling

The Academy reserves the right to postpone, reschedule or cancel a programme where circumstances make this necessary.

Such circumstances may include insufficient enrollment, instructor availability, equipment or facility requirements, safety considerations, regulatory requirements, operational issues or events outside the Academy’s reasonable control.

Where a programme is rescheduled or cancelled, the Academy will communicate the available options to affected students.

15. Certification

Students who successfully complete the applicable programme requirements may be awarded the relevant certificate or other credential issued by the Academy.

Certification may be subject to:

  • Satisfactory attendance;
  • Successful completion of required assessments;
  • Completion of practical requirements;
  • Payment of all outstanding fees; and
  • Compliance with applicable programme requirements.

Completion of training does not necessarily guarantee employment, promotion, professional registration, offshore placement or employment with any particular organisation.

16. Use of Student Information

The Academy will collect and process student and applicant information for legitimate academic, administrative, operational and regulatory purposes.

Personal information will be handled in accordance with the Academy’s Privacy Policy and applicable Nigerian data protection laws.

17. Photography and Media

The Academy may photograph or record training activities, events and other Academy activities for legitimate documentation, educational, promotional or communications purposes.

Where required by applicable law, appropriate consent will be obtained before using identifiable images or recordings for promotional purposes.

Students who have concerns about the use of their image or recordings should contact the Academy.

18. Academy Property and Equipment

Students are responsible for using Academy facilities, equipment, materials and other property appropriately.

A student may be held responsible for loss or damage resulting from intentional, reckless or negligent misuse, subject to applicable law and Academy procedures.

Students must return Academy property when requested or upon completion or termination of their enrollment.

19. Intellectual Property

Course materials, manuals, presentations, videos, assessments, documents, software and other materials provided by the Academy remain the property of the Academy or its respective licensors unless otherwise stated.

Students may use such materials for their personal educational purposes but must not reproduce, distribute, sell, publish or commercially exploit them without prior written permission.

20. Limitation of Responsibility

The Academy will take reasonable steps to provide training and services with appropriate professional care.

However, the Academy is not responsible for circumstances beyond its reasonable control, including delays, cancellations, disruptions, technical failures, third-party service failures, travel disruptions, natural events or other force majeure circumstances.

Nothing in these Terms excludes or limits any liability that cannot lawfully be excluded or limited.

21. Withdrawal or Termination of Enrollment

A student may voluntarily withdraw from a programme by notifying the Academy in writing.

The Academy may suspend or terminate a student’s enrollment where the student:

  • Breaches these Terms;
  • Engages in serious misconduct;
  • Provides false or fraudulent information;
  • Fails to meet programme requirements;
  • Fails to meet payment obligations;
  • Creates a serious safety risk; or
  • Otherwise acts in a manner that materially affects the Academy, its staff, students or operations.

Any refund or outstanding financial obligation following withdrawal or termination will be handled in accordance with the applicable Academy policies.

22. Complaints and Appeals

Students who have concerns regarding their enrollment, training, assessment, conduct or other Academy matters should first raise the matter through the Academy’s designated complaints or administrative process.

The Academy will make reasonable efforts to review and address legitimate complaints fairly and appropriately.

23. Changes to These Terms

The Academy may update these Terms from time to time to reflect changes in its programmes, policies, operational requirements or applicable laws.

The version applicable to an enrollment will generally be the version in effect at the time the enrollment is accepted, unless otherwise required by law or communicated by the Academy.

24. Governing Law

These Terms shall be governed by and interpreted in accordance with the laws of the Federal Republic of Nigeria.

Any dispute arising in connection with these Terms should first be addressed through good-faith discussion and the Academy’s applicable complaints or dispute-resolution procedures before formal legal action is considered, where appropriate.

25. Acceptance of Terms

By submitting an application, accepting an admission offer, making payment or completing enrollment, the applicant or student confirms that they:

  • Have read and understood these Enrollment Terms & Conditions;
  • Agree to comply with the Academy’s policies and procedures;
  • Have provided accurate information;
  • Understand the financial and programme requirements applicable to their enrollment; and
  • Agree to comply with applicable academic, safety and conduct requirements.
